Care access & continuity
Every referral ordered
to a completed visit.
EnsureCare picks up each referral, finds an in-network specialist the patient can reach, clears what stands in the way, and sends the results back to the referring team.

Where it stalls
Most referrals are sent.
Far fewer are completed.
A referral can stall at many points between the order and the result, including these three.
01
Never booked
The referral arrives by fax or e-referral, and no one reaches the patient to schedule it.
No appointment date02
Booked out of network
The patient books wherever there is an opening, and the visit leaves your network.
Network leakage03
Results never return
The visit happens, but the consult note never reaches the referring doctor.
Loop left open
How it works
From open referral
to resolved.
Referrals arrive by fax, e-referral, and phone. Many are never booked, some are booked outside your network, and results rarely make it back.
Network leakage
When a referral leaves your network,
it can still come back.
Some patients book out of network because it was the first opening they found. EnsureCare spots the booking, offers an in-network specialist with a comparable time, and updates the referral when the patient switches.
How EnsureCare connects to your EHRWhat is different
Tracking shows the stall.
EnsureCare closes the loop.
| Typical referral tracking | ||
|---|---|---|
| Who works the referral | Staff call down a list when they have time. | Every referral is picked up the day it arrives, including faxes. |
| Finding a specialist | The first name on a list. | Matched on specialty, network, location, and open times. |
| Reaching the patient | Voicemails during work hours. | Two-way text or voice, with times that fit the patient. |
| When the patient books elsewhere | The referral leaves your network. | An in-network option is offered while there is still time. |
| The referring doctor | Rarely hears back. | Gets the consult note and the outcome. |
| What counts as done | The referral was sent. | The visit happened and the results came back. |
A sent referral is activity. A completed visit is closure.

Safety
Your team
stays in control.
No clinical decisions
EnsureCare does not decide who needs a specialist or how soon. It works the referral your clinician ordered.
Your team handles exceptions
Unclear orders, urgent cases, and patients who need extra help go to your staff, with the context already gathered.
Every step in the chart
Matches, bookings, and results are written back to the EHR, logged, and reversible.
Which referrals does EnsureCare work?
Outgoing specialist referrals from your clinicians, whether they arrive as e-referrals in the EHR or by fax. EnsureCare reads each order for the specialty, reason, urgency, and payer, and works it until the visit is completed and the results are back.
How does it find a specialist?
It matches the specialty and urgency on the order with in-network specialists, their location, and open appointment times, then offers the patient times that fit their schedule.
What happens when a referral is unclear or urgent?
It goes to your staff. Missing details, unclear orders, and urgent cases are routed to your team with the context already gathered. EnsureCare does not make clinical decisions.
Does the referring provider hear back?
Yes. When the visit is booked, the referral status updates in the EHR. After the visit, the consult note and outcome go back to the referring provider, and the referral closes.
How do you measure results?
Against your own baseline, from your EHR data: referrals with an appointment date, completed visits, in-network capture, and days from referral to visit.
What does CAIR stand for?
CAIR stands for Care Adherence Intelligence & Recovery, EnsureCare’s underlying system for predicting and preventing missed care.
What EHRs does EnsureCare integrate with?
EnsureCare integrates with major EHR systems such as Epic, Oracle Health (Cerner), athenahealth, MEDITECH, eClinicalWorks, and more. If you are not seeing your EHR, please reach out to us.
Is patient data secure with EnsureCare?
EnsureCare implements healthcare-grade security standards. EnsureCare is HIPAA compliant, and SOC 2 compliance is underway. Encryption, role-based access control, and data minimization practices protect sensitive information such as PHI and PII in line with HIPAA requirements.
How long does implementation take?
EnsureCare is deployed in days, and the impact can be seen in weeks. Our engineers collaborate with your IT and compliance teams to establish secure connectivity. Your staff keeps using their familiar workflows without additional software or training.
